Behind Closed Drawers – Stallholder Terms & Conditions
These Terms and Conditions apply to all stallholders participating in a Behind Closed Drawers (BCD) event. By submitting an application, accepting a stall, or attending the event, you agree to the following conditions.
BCD reserves the right to update the Terms & Conditions from time to time.
Any changes will be published on our website, and continued use of our services constitutes acceptance of those changes.
1. Permitted Products
Items for sale must be men’s, women’s, or unisex clothes, shoes, jewellery, and clothing accessories ONLY. It can be brand new, pre-loved, hand-made, vintage or up-cycled. All items MUST be clean and in good condition.
Stallholders may sell only items approved by BCD. Requests to add product types must be submitted in writing with images for approval.
The sale of baby and children’s clothing, toys, bedding, homewares, or books is prohibited.
The sale of offensive, unsafe, or illegal goods is strictly prohibited.
Applications from retail stores selling new, remainder, or clearance items will not be accepted.
2. Stallholder Responsibilities
All items and personal possessions are brought to the event entirely at the stallholder’s own risk. BCD accepts no responsibility for loss, theft, or damage.
Stallholders are responsible for providing their own change and payment processing facilities.
Stallholders must ensure their products, displays, and materials remain within the boundaries of their allocated stall space. Items placed outside the allocated area may be removed for safety reasons.
Stallholders must ensure that all suitcases, storage containers, and similar items are returned to their vehicles prior to the start of the market.
Stallholders are responsible for pricing and presenting their items and must supply their own hangers and display equipment.
Stallholders sharing a stall agree that both parties are bound by these Terms and Conditions.
Business or hobby stallholders must hold their own current public liability insurance and provide evidence of coverage if requested.
Wardrobe-clear-out stallholders participate as non-commercial sellers and are not required to hold their own public liability insurance. Any public liability claims arising in connection with the event will be managed in accordance with BCD’s event public liability insurance, subject to policy terms, conditions, and exclusions.
BCD makes no representation or guarantee regarding potential income or sales generated by participating in any event
Stallholders agree to indemnify Behind Closed Drawers, its organisers, staff, volunteers, and venue partners from any claims, losses, damages, costs, or expenses arising from:
the stallholder’s products, displays, or activities;
injury to any person or damage to property caused by the stallholder;
any breach of these Terms & Conditions.
3. Applications, Bookings and Acceptance
Acceptance into one event does not guarantee acceptance into future events.
Spaces are allocated for a single event only and cannot be transferred.
Stall Fees cover the hire of the stall space only and do not include trestle tables, racks, or any additional equipment.
BCD has limited availability of trestle tables and racks, please note your preference when completing the stall application.
Successful applicants will receive (via email) a stall offer with an invoice link to confirm their booking. Payment must be made within five (5) days of receiving the stall offer.
If payment is not received within this time, the stall reservation will be forfeited and reallocated without further notice.
Stall fees are non-refundable in the event of cancellation by the stallholder.
Failure to attend the event without prior notice will result in forfeiture of the stall fee.
Stallholders must not sublet, transfer, or allow unapproved third parties to trade from their stall without prior written approval from BCD

4. Event Operations
Please do not park in the first two parking spaces directly outside the hall, as these are reserved for the coffee van. Refer to the Stallholder FAQ for parking information.
Bump-in commences at 9:30am on the day of the event. Entry after 10:15am will not be permitted. Stallholders who have not arrived by this time will be considered no-shows, and their stall and stall fee will be forfeited
Stallholders must be fully set up no later than 10:45am, 15 minutes prior to the commencement of trading hours (11:00am).
Stallholders who fail to attend without notice may be excluded from future events.
Stallholders must remain open for trade for the entire duration of the event (11:00am–2:00pm). Early pack-up is not permitted.
Pack-down must be completed within one hour of closing (by 3:00pm).
Stallholders must comply with all instructions provided by event staff.
Stall locations are assigned at the sole discretion of BCD. Requests for particular positions may be made up to one week prior to the event but are not guaranteed.
Stallholders must remove all waste and leave their allocated area in its original condition.
If BCD is charged a cleaning or damage fee by the venue due to a stallholder’s actions, this fee will be passed on via invoice.
Stallholders must not attach any materials to venue walls. Stallholders are responsible for any damage they cause to the venue or equipment.
BCD accepts no responsibility for weather conditions; stallholders must prepare accordingly.
5. Marketing and Promotion
Stallholders are encouraged to support event promotion by sharing the event online and inviting their networks.
Following payment, BCD may provide a printable promotional poster for stallholders to use at their discretion.
Stallholders with Facebook accounts are asked post on the event’s discussion page at least one week prior to the event. Posts must include:
a clear, good-quality photo of themselves or their products;
and a short description of what they are selling.
Stallholders without Facebook are required to email BCD at least three good-quality photos and a short description at least one week prior to the event for promotional use.
6. Conduct and venue rules
The consumption of alcohol or illicit substances by stallholders during the event is strictly prohibited.
Smoking is permitted only in the designated smoking areas provided by the venue and away from any entries or exits to the event.
Stallholders are not permitted to bring pets to the event.
7. Photography, Media and Image Use
By participating in the event, stallholders consent to BCD capturing and using images of stallholders, stalls, and stallholder items for promotional or publicity purposes in print or digital formats.
By supplying images to BCD, stallholders confirm that they own the images or have the photographer’s permission to share and permit their use.
8. Donations
Stallholders are welcome, but not obligated, to donate unsold items to a charitable recipient selected by BCD.
